Voxella ("we", "us", "our") provides an AI-assisted meeting notes app.

2. What this policy covers

This policy explains what data we process, why, and your choices. It applies to our mobile apps, website, and support.

3. What we collect

  • Recordings (audio): Stored on your device by default. We do not upload recordings unless you choose features that require upload (e.g., cloud transcription).
  • Transcripts & notes: Created locally where supported. If you opt into cloud features, text may be processed on secure servers to deliver summaries/action items.
  • Account data (optional): Email, name, and authentication identifiers if you create an account or sign in.
  • Usage & diagnostics (optional): Crash logs and performance data to improve the app (you can turn this off).
  • Payments: Handled by Apple/Google. We do not store full payment card details.

4. How we use data

  • Provide core features (recording, transcription, summaries, spaces).
  • Sync or backup (only if you enable cloud features).
  • Support, troubleshooting, fraud prevention, and service improvement.
  • Monitor usage to ensure fair use and prevent abuse of unlimited plans.
  • Legal compliance where required.

5. On-device by default

  • Recordings stay on your phone unless you choose to upload or share.
  • You control if/when data leaves your device.

6. Cloud processing (optional)

If you enable cloud transcription/summaries, data needed to perform that feature is encrypted in transit and processed by vetted providers under contractual privacy commitments. We retain only what's required to deliver the feature and as configured by you.

Fair Use: Unlimited plans are subject to reasonable personal or business use. We may implement usage monitoring and soft caps to prevent abuse, including but not limited to: automated bulk processing, reselling of services, or usage patterns inconsistent with typical meeting workflows. Users exceeding reasonable thresholds will be contacted before any service limitations are applied.

7. Sharing

We do not sell your data. We may share limited data with:

  • Processors (e.g., hosting, crash analytics) bound by data-processing agreements.
  • Legal authorities if required by law.

8. Data retention

  • On-device content (recordings, transcripts) remains until you delete it.
  • Cloud data (if enabled) is retained only as long as needed to provide the service or as required by law. You can request deletion.

9. Your rights

Depending on your location, you may have rights to access, correct, delete, port, or object to processing. Contact noreply@beresford.org.uk. You can disable optional analytics in settings at any time.

10. International transfers

If data is processed outside your country, we use appropriate safeguards (e.g., Standard Contractual Clauses).

11. Service usage and fair use

Our services are designed for reasonable personal and business use. To ensure quality service for all users:

  • Unlimited plans are subject to fair use policies. "Unlimited" means unlimited within reasonable personal or business meeting workflows.
  • Prohibited uses include: automated bulk processing, reselling transcription services, or using the service for purposes other than meeting notes and summaries.
  • Usage monitoring: We may monitor usage patterns to identify potential abuse and ensure service quality.
  • Soft caps: We may implement reasonable usage thresholds. Users approaching limits will be notified and offered solutions before any restrictions are applied.
  • Good faith: We work with users in good faith to resolve any usage concerns and provide advance notice of any service changes.

12. Children

Voxella is not directed to children under 13 (or the age required by local law). Do not use the service if you are under the minimum age.

13. Security

We use industry-standard security measures, including encryption in transit and at rest for any cloud data. No method is 100% secure; please use strong device security.

We'll update this policy as our service evolves. We'll post updates here and revise the "Last updated" date.
